Salary slip generator with PF, ESI, and Professional Tax

A salary slip (also called a payslip) is a document issued by an employer to an employee at the end of each pay period. It details the employee's earnings — basic salary, HRA, and allowances — along with statutory deductions like Provident Fund (PF), ESI, and Professional Tax, arriving at the net pay amount.

For small businesses and startups in India issuing salary slips manually, calculating PF, ESI eligibility, and state-wise Professional Tax is time-consuming and error-prone. This tool handles all the compliance calculations automatically based on the 2024-25 rules, so you can generate accurate salary slips in under a minute.

PF, ESI, and Professional Tax — how are they calculated?

    Provident Fund (PF)

Employee PF contribution is 12% of basic salary, capped at ₹1,800 per month (when basic exceeds ₹15,000). The employer contributes an equal amount. This tool calculates the employee deduction automatically.

    ESI (Employee State Insurance)

ESI applies when the employee's gross salary is below ₹21,000 per month. The employee contributes 0.75% of gross salary. When gross is ₹21,000 or above, ESI is not applicable and shows as N/A on the slip.

    Professional Tax (PT)

Professional Tax is a state-level tax deducted from salary. Maharashtra slab: ₹0 for gross up to ₹7,500, ₹175 for ₹7,501–₹10,000, and ₹200 for above ₹10,000 per month. Different slabs apply for Karnataka, Telangana, and Tamil Nadu — select your state in Salary Structure settings.

CTC vs Gross vs Net Pay

CTC (Cost to Company) includes employer PF contribution and is the total employment cost. Gross salary is what the employee earns before deductions. Net pay is what the employee receives after PF, ESI, and PT are deducted.

    Loss of Pay (LOP)

When an employee is absent beyond their leave balance, the salary is pro-rated. Enter working days and days present — the tool automatically calculates LOP and adjusts all components proportionally.
